Who is responsible

Loca Trip Japan is run by an individual based in Tokyo, Japan. For any question or request about your personal information, email slateworks831@gmail.com. The operator's full name and postal address are provided on request.

What I collect

• Request form: your name as you enter it, email address, preferred language, travel dates, who is travelling, interests, budget and any notes you add.
• Emails: follow-up questions, your replies and delivery emails, including the PDFs sent to you.
• Payment (only if you buy the full version): the payer name, email, amount and transaction reference that PayPal shows me. I never see your card number.
• Website analytics (only if you accept it): Microsoft Clarity records clicks and scrolling on this website. You can decline or change this at any time from the footer.
• Technical logs: the hosting provider keeps short-term access logs such as IP address and browser type to run and protect the website.

Please do not send passport details, booking numbers, medical information or the full names of travel companions. If you send them by mistake, I delete them.

Why I use it

• To prepare and email your free preview and, if you order it, the full PDF.
• To ask follow-up questions and answer yours.
• To send a PayPal invoice and confirm payment.
• To keep the records that Japanese tax and bookkeeping law requires.
• To understand how the website is used, in aggregate, when you accept analytics.

I do not send advertising emails, and I do not sell or rent personal information.

How AI is used

I use AI tools for research and first drafts. Your name and email address are never included in what I give to AI tools. Your answers about interests, dates and travel style may be used to draft your booklet and are processed under the AI provider's business terms. I review and edit everything myself. Your personal booklet and handwritten letter are not shared with other customers; general research notes about places may be reused.

Where your information is kept

• Google (Forms, Sheets, Gmail, Drive): form responses, records, emails and PDFs.
• PayPal: payment processing. PayPal handles payment data under its own privacy statement.
• Microsoft Clarity: website analytics, only with your consent.
• Cloudflare: website hosting and access logs.

These providers may store data on servers outside your country, including in the United States and Japan.

How long I keep it

• Request details, emails and your PDFs: 12 months after the last email or delivery, then deleted. This lets me answer questions and help if you come back.
• Payment records: 7 years, as required by Japanese law.
• Analytics data: according to Microsoft Clarity's retention settings (currently 30 days for session recordings and up to 13 months for aggregated data).
• Test entries and mistaken submissions: deleted as soon as they are noticed.

Your choices and rights

You can ask me at any time to show you what I hold about you, to correct it, or to delete it. Email slateworks831@gmail.com from the address you used in the form. I reply within 30 days and may ask a question to confirm that it is you. You can withdraw analytics consent from “Analytics settings” in the footer.

If you are in the EU, the UK or another region with similar rules, you also have the right to object to or restrict processing, to receive your data in a portable form, and to complain to your local data protection authority. The legal bases I rely on are: taking steps at your request and performing the service (form, emails, delivery), your consent (analytics), legal obligations (payment records), and my legitimate interest in keeping the service secure and answering your questions.

Security

Access to your information is limited to the operator. Accounts are protected with login security, and information is kept only for the periods described above.

Children

This service is for adult travellers. Please do not submit the form if you are under 16.

Changes

If this notice changes, the new version is posted here with a new date.
